Introduction
Thank you for your interest in the Tompkins High School Choir Council. The Officers of the Choir Council have a tremendous duty to serve the members of the choir and to make choir the smoothest, most efficient organization it can be.
The directors are looking for qualified individuals who will lead all members of all choirs by example and who will tirelessly work to ensure the continued high standards of excellence in the choir

In order to run for an elected office, one must be enrolled in Choir during the current and following school year.
Standards for Officers
- To be qualified to hold an elected office, a nominee must be a current member of choir and enrolled in choir for the next school year.
- President and Logistical Vice President must be members of Chorale
- Individuals must have maintained a passing average (including Pre-AP and AP classes and those exempted by Katy ISD) in all classes during the school year.
- Individuals must have maintained conduct grades of at least Satisfactory in all classes
- Individuals must have participated in all required activities of the Tompkins HS Choir
Election Process
Applicants must submit a complete application, which includes:
- Complete and Submit the Officer Application
- Schedule an interview with the choir director. The current choir council president may also be in attendance.
- Attend the speech taping. The speeches will be shown in all choir classes on the day of elections. Time limit for speeches is two minutes.
Term
Officers will serve one school year, beginning immediately after graduation.

Officer Duties
All Officers
Objectives: Create a culture of hard work, highly effective rehearsals, well attended concerts, inclusive choir body, and fun working environment by assisting the choir directors with advocacy, recruitment, retention, communications, records, projects, morale, and rehearsal focus through self-initiated solutions and ideas.
Characteristics: Leaders, Creative, Self-Driven, Enthusiastic, Energetic, Smart, Positive, Hard Workers, Loves Choir.
Responsibilities:
- Complete Monthly 3-3-30 Form
- Attends Monthly Council meetings
- Attend the student leadership day at TCDA
- Attend Choir Council week to design and build Choir wall
- Write cards for all Choir competitions
- Work on Choir morale and promote efficient and fun rehearsals
President
- Objectives: Communicate with choir directors to understand their vision of the future of the program, to optimize clarity of tasks, and find innovative ways to utilize the choir council to accomplish those goals.
Characteristics: Knows how to delegate, Good motivator, Works well with others ideas, Great communicator, People person, Empathetic, Prioritizes well, Get-it-done personality.
Responsibilities: - Represent the interests and vision of the Choir Directors

President of Logistics
Objectives: Create a culture in the choir program that is family oriented. Promote choir events while creating schedules and contacting logistics teams and general members to work and/or set up/teardown events.
Characteristics: Really outgoing, Not shy at all, Loves to make posters and has time to do so, Loves to talk a lot, a little OCD, Understands the psychology of design and marketing, a great advocate. Very detail oriented, very organized, very good note taker, proficient in Microsoft Excel and Word, proactive, Get-it-done personality, can stay busy working in the office, has a significant amount of extra time to devote to this office.
Responsibilities:
- Member of Executive Board
- Oversees General Members, Logistics Team, and Provisional Members
- Manages logistics for choir events
- Works with social and service chairs to make sure events are planned ahead of time and do not conflict with other events
- Works with VP of Public Relations, Service Chairs, and Social Chairs regularly so that events are appropriate and accomplish the goals of the choir council
- Works with the other VPs to design a Council shirt over the summer
- Creates google forms for all events and activities
- Manages and assigns logistics members in setup and clean up of all events and concerts including riser, shells, stands, piano, microphones, chairs, tables, and decorations for all events
- Makes schedules and assignments for events including but not limited to Coffee House auditions and Coffee House, Travel Music Auditions, Sound Fx schedule of crew tech and their assignments, ushers, concessions
- Creates schedule and line order for all auditions after school
- Assigns general members, logistics team, and provisional members in choir council tasks given by the choir directors or choir president, insures all tasks are completed
- Keeps a running list and/or calendar of activities and events going on in the program
- Creates tasks and assignments needed for all calendar activities

Uniforms
- Objectives: Oversees distribution, collection, and organization of all choir uniforms, costumes, and accessories.

Responsibilities: - Maintain a neat and organized Uniform Closet aka “Narnia”
- Keep Uniforms in Narnia Organized and Sorted
- Keep Track of Uniforms on Cut time
- Keep Inventory up to date
- Keep Track of Assigned Uniforms and Garment Bags
- Check In and Out Uniforms with the help of other officers and directors
- Address Missing Items
- Lead Uniform Fitting Day, Collection, Dry Cleaning Send Off, and Dry Cleaning Receiving
Service Chair
- Objectives: Provides at least two service projects for Choir students to participate in.
Characteristics: Empathetic, change-the-world Philosopher, Great Advocate, Full of ideas.
Responsibilities: - Plan at least two service activities per semester
- Take care of permission slips, logistics, and preparation of all service events
- Recruits choir members and friends to have a full and successful project
- Service projects must benefit the school or the local community
- Service Projects and their dates must be approved far in advance by the directors
- Works with VP of Public Relations to publicize service projects for all
- Work with Choir-Keepers for internal Choir projects
- Work for inclusion if all Choirs and students
- Assist Social Chair with social events
Vice President of Operations
Objectives: Ensure that the choir room, library, uniform rooms, and practice rooms are organized, clean, and audited. Keep a record of all meetings and decisions made by the Choir Council and assist Choir Directors with any secretarial duties.
Characteristics: Understands the librarian, fac duties very well, quite OCD, very self-driven, great motivator, responsible, headstrong, follows instructions perfectly, corrects mistakes quickly, fast learner. Very detailed oriented, very organized, very good note taker, proficient in Microsoft Excel and Word, proactive, Get-it-done personality, can stay busy working in the office, has a significant amount of extra time to devote to this office.
Responsibilities:
- Member of Executive Board
- Oversees Librarians, and, Uniforms
- Keep a record of librarian hours for NHS and resumes
- Find new and efficient ways to keep records
- Make and updates Excel Files
- Help keep uniforms organized year-round
- Work with the other VP to design a Council shirt
- Take notes on every meeting, and have a typed copy within the next week for a record of discussions and decisions made by the Council
- Type any documents and help with any work needed by either of the directors
- Keep a list of Birthdays, in Excel to be printed at the beginning of the month to be put on the Choir bulletin board
Facilities
Objectives: Maintains a neat and organized Choir room and Practice Rooms. Decorates choir room for different holidays.
Characteristics: Loves to clean, loves to recycle, knows how to decorate, great at organizing,
Responsibilities:
- Maintain a neat and organized Choir room
- Maintain neat and organized Practice rooms
- Request funds to decorate Choir room
- Plan different choir room themes throughout the year.
- Once a week vacuum the risers
- Once a week take the paper and plastic recycle boxes to the recycle bins
- After concerts make sure the auditorium and Choir room are put back in proper order
- Make sure forms and copies of music don’t get depleted
- Assist Librarians if more help is needed organizing the Library
- In Charge of Choir Blankets, cleaning, and folding
Monthly
3-3-30
- All choir council members and officers will need to complete a 3-3-30 Google Form each month to remain in good standing as a member of the Tompkins Choir Council.
- Each member will need to complete a minimum of 3 hours of service to the choir council each month.
- Each member will need to complete a minimum of 3 different projects led by 3 different choir council officers.
- Choir Council Officers must assist in at least 1 choir council project that was led by a different Officer.
- Each project must add up to a minimum of 30 minutes to count as a project.
- 3-3-30 records are public knowledge and a summary of the year will be available to the choir program during the end of the year voting.
- The President and VP of Logistics will track 3-3-30s and support members to help them meet their goals.
10-10-30
- All provisional members wanting to become a general member at semester will need to complete a 10-10-30 Google Form each month to obtain good standing as a member of the Tompkins Choir Council.
- Each member will need to complete a minimum of 10 hours of service in total throughout multiple months.
- Each member will need to complete a minimum of 10 different projects led by at least 3 different choir council officers.
- Each project must add up to a minimum of 30 minutes to count as a project.
- 10-10-30 records are public knowledge and a summary of the year will be available to the choir program during the end of the year voting.
- The President and VP of Logistics will track 10-10-30s and support members to help them meet their goals.
Vice President of Public Relations
Objectives: Advocate for the choir program to the community, the school, and within the choir program. Provide fundraisers for the Choir program.
Characteristics: Really outgoing, Loves to make posters and has time to do so, Loves to talk and post a lot, a little OCD, Understands the psychology of design and marketing, a great advocate, a talented recruiter. Knows how to budget, is very good at making money, excellent motivator, somewhat frugal, knows how to save, excellent salesperson, great planner.
Responsibilities:
- Serve as a member of the Executive Board and assist the Choir Council President.
- Oversee Historians, Social Chairs, and Service Chairs.
- Publicize choir concerts, rehearsals, events, and announcements.
- Promote choir through posters, social media, and newsletters.
- Work with the Historian to create recruiting and informational videos.
- Ensure photos and videos are taken at all choir events.
- Collaborate with Booster Club parents and PTA newsletters.
- Communicate with fundraising vendors and coordinate fundraisers.
- Plan fundraisers and encourage maximum participation.
- Track the Choir Council budget and suggest expenses.
- Work with other VPs to advertise fundraisers and design the council shirt.
- Plan at least one Spirit Night per semester.
Librarians
- Objectives: Maintains an organized Choir Library
Characteristics: Extremely organized, practical, can stop a project and pick up immediately where they left off, very focused, knows how to prioritize, perseverant.
Responsibilities: - Keep an organized Choir Library Organize whatever the directors so desire
- Stay, year round, on top of all new music and turned in music
- Keep a record of all passed out music and SMART books
Social Chair
- Objectives: Provide at least two activities every semester for all Choir students to participate in and get to know one another.
Characteristics: Life of the party, resourceful, creative, detail oriented, inclusive, friends with everybody.
Responsibilities: - Provide at least two social events per semester
- Work to create events that foster positive relationships between students
- Events are designed so that students are engaged with one another and create new and lasting friendships
- Social Events must be school appropriate and approved by choir directors in advance
- Social Events must be well attended and filled with activities that are inclusive
- Provide sufficient publicity for events well ahead of the date with constant reminders
- Branch out to the school and local Newspapers to gain publicity for our Choir program, work with the VP of Public Relations in this manor
- Pass out All necessary forms and match upperclassmen to freshmen
- Stay on top of upperclassmen to be good big brothers/sisters
- Work with Service Chairs to create service projects that are inclusive
- Continually work for inclusion of all Choirs and students
- Assist Service Chair with service events
- Events include: Coffee house, Backstage help, Social setups, Concerts (high school and junior high), and any other events that require extra help.
Historian
- Objectives: Take pictures of all choir students at various events and print and post frequently. Consistently in the process of creating videos, powerpoints, and slideshows to show off concerts, activities, rehearsals, and competitions that can be viewed in class, simulcast, and online.
Characteristics: Very outgoing, loves to take pictures, loves to decorate, resourceful, artistic, dependable, not shy, people person, busy body, very involved with every choir event. Understands media design, owns or has access to movie making software such as iMovie, technologically savvy, creative and artistic, punctual, slightly OCD, really good at updating information, innovative, loves to edit video.
Responsibilities: - Attend every Choir activity and take copious amounts of pictures
- Make the slide-show for Choir banquet at the end of the year
- In charge of Choir Bulletin board with monthly themed changes and pictures
- Work with Media Technician to provide updated photos and footage for recruitment purposes
- Correspond with the directors weekly for new information to post on bulletin board
- Help socials officer with instagram and facebook posts
Scrapbook - Create a yearly promotional video and powerpoint recruitment for the middle school choir students before the elective course fair in February
- Create monthly high school choir recruitment videos to be shown on Simulcast
- Assist Historians on their banquet slideshow
- Assist Choir Directors with recording and music making software
- Take video footage of choir events and rehearsals
- Constantly thinking of fun ways to catch great choral moments on video
Officer Discipline
If an officer does not complete their duties or acts in an inappropriate manner, the following consequences will result:
- First offense – meeting with the directors
- Second offense – probation for 3 weeks
- Third offense – dismissal from the position
- Immediate dismissal may occur if you do not represent the THS Choir in a positive manner, or if you treat a student or choir parent, or the directors with disrespect or dishonor them in or outside of school. THS Choir Officers are held to a very high standard.
Termination of an Officer
If at any time during his/her office an officer fails to live up to the standards of the THS Choir Handbook or his/her choir expectations such as:
- failure to attend rehearsals
- failure to be prepared
- failure to participate in required activities
- failure to attend officer meetings
- failure to pass all classes including Pre-AP and AP classes
- general failure to fulfill the responsibilities of the office
The director has the authority to remove the individual from the office. A replacement will be appointed by the director after consulting with the officers.
